Privacy Notice

This notice explains how MatrixWorks handles information when organizations and their authorized users access the client portal, workflows, agents, approvals, and connected services.

1. Scope

This notice applies to the MatrixWorks Client Portal at portal.matrixworks.io and the managed automation services made available through it. A separate written agreement with a customer controls if it expressly conflicts with this notice.

2. Information we collect

Depending on the features an organization enables, we may collect and process:

  • Account and access information, including name, business email address, Microsoft identity reference, organization membership, role, and sign-in status.
  • Customer content, including documents, instructions, workflow inputs, review decisions, approvals, messages, and generated outputs submitted or authorized by the customer.
  • Operational records, including workflow and agent run history, timestamps, source references, approval state, errors, audit events, and security events.
  • Property-research information, including public-record property addresses, incident or filing information, source links, review status, and customer-created notes or decisions.
  • Technical information, such as session data, browser and device information made available through ordinary web requests, IP address, and diagnostic logs needed to operate and protect the service.

3. Where information comes from

Information may come from authorized users, customer administrators, connected customer systems, identity providers, public or licensed data sources selected for a workflow, and service providers used to deliver an enabled feature. Customers are responsible for ensuring they have authority to provide customer content and configure connected sources.

4. How we use information

We use information to authenticate users; enforce organization and role boundaries; run customer-authorized workflows and agents; present results for review; record approvals and audit history; provide support; monitor reliability and security; prevent misuse; comply with law; and improve the service. MatrixWorks does not sell personal information or use portal information for cross-context behavioral advertising.

5. Google Maps and Street View

Opportunity Scout may display Google Maps Street View imagery for a property address selected from the customer's research queue. When that image is requested, the property address or location is sent to Google so Google can locate and return available imagery. MatrixWorks does not use this feature to collect a user's live device location, and it does not store or cache Street View imagery.

Google may receive and process information associated with these requests under the Google Privacy Policy. Google Maps imagery is contextual research information and is not proof of current condition, ownership, occupancy, or sale intent.

6. How information is shared

We may make information available to the customer organization and its authorized users, and to service providers that support identity, hosting, document analysis, AI-assisted processing, mapping, communications, monitoring, and other customer-enabled functions. Providers receive only the information reasonably needed for the enabled function and are subject to their applicable agreements. We may also disclose information when required by law, to protect rights or security, or in connection with a business transfer.

MatrixWorks does not allow workflow tools, prompts, models, n8n, Langflow, or external content to choose or override a user's trusted organization identity.

7. Retention

We retain information for the period reasonably needed to provide the service, maintain audit and security records, satisfy customer instructions and contractual commitments, resolve disputes, and comply with law. Retention varies by data type, workflow, customer configuration, and legal requirement. Google Maps imagery is not retained by MatrixWorks.

8. Security

We use administrative, technical, and organizational safeguards designed to protect portal information, including authenticated access, tenant authorization, restricted infrastructure access, encryption in transit, secret management, audit records, and approval boundaries for higher-impact actions. No system is completely secure, and we cannot guarantee absolute security.

9. Cookies and sessions

The portal uses cookies or similar storage that are necessary to maintain authenticated sessions, protect access, and preserve essential preferences. We do not currently use portal cookies for third-party behavioral advertising.

10. Choices and requests

Authorized users may review or correct certain account and workspace information through their organization administrator. Requests concerning access, correction, deletion, restriction, or another applicable privacy right may be submitted to MatrixWorks using the contact information below. We may need to verify the requester's identity and authority, and some information may be retained when required for security, audit, contractual, or legal purposes.

11. Children

The portal is a business service and is not directed to children under 13. We do not knowingly collect personal information from children through the portal.

12. Changes

We may update this notice as the service, providers, or legal requirements change. The current version and effective date will be posted on this page.
